IEEE CAI 2025 Workshop Proposal Guidelines

Invited Speakers

  • Content and Expertise:
    • Each invited speaker should be a recognised expert in their field, ideally with recent research findings published across multiple articles or experts coming from industry.
    • Speakers should be prominent figures who can significantly contribute to the workshop’s theme.
    • Each invited talk lasts 25 minutes, followed by a 5-minute discussion.
  • Honorarium:
    • Each invited speaker will receive a small honorarium or support from the conference.
  • Organiser Role:
    • Workshop organisers are responsible for hosting and introducing the speakers but are not to deliver an invited talk during the workshop they organise.

Overview

  • A workshop at IEEE CAI 2025 is a specialised thematic session organised and chaired by researchers in the field of Artificial Intelligence (AI).
  • Workshops focus on recent and significant research themes.
  • Each workshop includes presentations of submitted papers on the workshop topic and, optionally, invited talks from leading experts presenting recent research findings within the workshop theme.
  • Workshops can be organised by up to three organisers, with one serving as the lead organiser. At least one organiser must be committed to attending the conference and chairing the workshop.

Workshop Organisation

  • Before the Submission of Papers:
    • Workshop organisers prepare a call for papers and a workshop website.
    • Workshop organisers promote the workshop to attract high-quality submissions.
  • Submission Process:
    • Papers are submitted through the conference system, specifying that the manuscript is intended for a particular workshop.
    • Workshop organisers ensure that submitted papers adhere to the same format and length requirements as the main conference.
    • Workshop organisers manage the review process, ensuring each paper undergoes double-blind peer review by at least two independent reviewers.
  • Review Timeline and Quality Assurance:
    • Deadlines and review timelines align with those of the main conference.
    • Organisers act as editors, checking the quality and originality of accepted papers and providing a summary of the similarity report for the accepted papers to the workshop general chairs.
  • Paper Decisions:
    • Workshop organisers determine whether a manuscript is published as a regular or short paper, adjusting the original submission if necessary.
  • Presentation and Participation:
    • Accepted papers must be presented in person by one of the authors at the conference.
    • Presentations follow the same format as the main conference regarding types and durations.
    • Workshop participants must pay the standard conference fees, which grant access to all sessions, including workshops.
  • Publication:
    • Accepted workshop papers are published in the conference proceedings in the workshop section, available online via IEEE and indexed by IEEE Xplore.

Workshop Proposal Submission

  • Workshop proposers should submit two documents via email to Professor Ferrante Neri [email protected]AND Professor Nalini Ratha [email protected]  by 10th October 2024:
    1. Workshop Proposal Document (Maximum Two Pages):
      • Title:The proposed title of the workshop.
      • Scope and Aims:A clear description of the workshop’s theme, goals, and significance.
      • Content and Objectives:An outline of the workshop content and its intended outcomes.
      • Programme Committee Members:A list of committee members with their affiliations and links to their personal websites. These members will act as prospective reviewers for the workshop.
      • Tentative List of Invited Speakers:If applicable, a list of proposed speakers with affiliations and potential talk topics.
      • Previous Events:Details of similar workshops or conference sessions previously organised by the proposers.
    2. Proposer Biosketch Document:
      • A short CV or biosketch for each workshop proposer, including:
        • Links to their Google Scholar, SCOPUS, ORCID, and, if available, Web of Science profiles.
      • Notification of Acceptance:
        • Acceptance or rejection of workshop proposals will be communicated to organisers by 25th October 2024.
        • Upon acceptance, organisers are expected to have their call for papers online by 31st October 2024.
